A single monthly invoice for all your providers in Pointe-Noire

Supplies, vehicles, courier, maintenance: how to receive one invoice a month, payable within 30 days, itemized by employee, with an Excel export for your accountant.

Yes: with a Résidence Feuille Pro business account, your teams' orders are grouped on one centralized monthly invoice, itemized by employee, payable within 30 days.

For a purchasing manager or an accountant, it's the difference between a pile of invoices from different providers, each with its own format and due date, and a single document each month, available in My space with its Excel export.

What does the monthly invoice include?

The monthly invoice covers the orders your teams placed in My space, itemized by employee. In My space, you also see the month's spending service by service.

  • One invoice a month, payable within 30 days.
  • Itemized by employee: who ordered what.
  • The Excel export for your accountant.
  • The month's spending, service by service.

Which services go on the monthly invoice?

Each service states how it is billed. Here is what each one says:

ServiceBilling
Résidence Feuille (hotel)One invoice per month, with a statement of stays by employee
RF CAR (vehicles)At vehicle handover, or on your company's monthly invoice
Paraphe (supplies)One invoice per month, payable within 30 days
Kolia (courier and meals)In the app, or on your company's monthly invoice
Régie (maintenance)With your other services, on the monthly invoice
Kokoma (China sourcing)Prepayment after your approval, in cash or by bank transfer: nothing is bought before
Établi, Strate (manufacturing)Free quote, approved before manufacturing
Toile, Comptoir (IT)Monthly subscription

How do you keep control of spending?

Everyone orders according to their permissions; above their spending limit, their manager approves. Spending limits are set person by person, and no one approves their own order.

By default, an employee can order up to 50,000 FCFA and a manager up to 200,000 FCFA; the company head orders with no spending limit and can approve all orders.

For supplies, an alert warns you when a department reaches 80% of its monthly budget.

How do office supplies work?

Paraphe offers 124 office items in 13 categories: paper, notebooks, writing, filing, mail, ink and toner, small equipment, IT, coffee and reception, hygiene, safety, printed forms.

  • Delivery in 2 hours across all 6 districts of Pointe-Noire, from Lumumba to Ngoyo.
  • Monday to Saturday, 7:30 – 17:00; outside these hours, delivered 2 hours after opening.
  • Free delivery from 50,000 FCFA excl. tax (HT); "made to order" items in 24 hours.
  • Order from My space (Supplies module) or paraphe.residencefeuille.com.

Who sees the invoices?

The company head and the accountant see the figures and invoices, with the Excel export. A manager sees their department's orders, an employee sees their own.

Example: one month at a client company

  • Out of toner this morning: you order the cartridge, it's delivered within 2 hours.
  • A client to pick up at the airport: you book the car and driver, and the driver waits for them on arrival.
  • A contract to get signed across town: you place A and B on the map, the courier sets off, and you track it.
  • Air conditioning down at the office: you report it, and the quote is approved before the work.

At the end of the month, these orders appear on the monthly invoice, itemized by employee, with the Excel export.

What changes for the accountant?

  • One invoice a month instead of one invoice per order.
  • Itemized by employee, to know who ordered what.
  • The Excel export, ready to import into your accounts.
  • A single point of contact for your questions, in French, English or Chinese.

How do you get started?

Open your company's account: it's free, and all you need to get started is your name and your company's name. Your RCCM or NIU will be requested later, in My space. Then invite your team, each with their own role and spending limit.
